Privacy policy
Culinary Crew respects your privacy and processes personal data carefully and solely in accordance with the General Data Protection Regulation (GDPR). In this policy we explain which data we collect, why, and what rights you have.
Who we are
Culinary Crew is a chef-led catering business based at Neslaan 53, 3742 MP Baarn, the Netherlands, registered with the Dutch Chamber of Commerce under KvK number 83714316, VAT identification number NL855351287B01. For privacy questions you can get in touch via info@culinary-crew.nl.
What data we collect
We collect the data you provide to us yourself via the forms on this website, plus one technical item explained below. Depending on the situation:
- For a contact enquiry: your name, email address and the content of your message.
- For a booking or composed enquiry: also your telephone number, the preferred date, the location, the number of guests and the composition of your order.
- Dietary requirements and allergies: if you provide them. This field is optional. Information about an allergy or a medical diet is data concerning your health; we ask for it solely so we can prepare your food safely, use it for nothing else, and process it on the basis of the explicit consent you give by filling in the field. If you would rather not share this via the website, leave the field empty and discuss it with us by phone. What you enter appears in the email through which we receive the enquiry; that email is sent via Brevo, our email provider within the European Union, acting as a processor.
- For a business booking: the company name, and if you provide them the VAT number and invoice address. We need these to issue a valid invoice.
- For a gift voucher: your name and email address, and if you provide them the recipient's name and the message printed on the voucher. The recipient did not give us those details themselves; we use them solely to produce and redeem the voucher, and delete them once the voucher has been used or has expired. Do let the recipient know if you enter their name.
- When signing up for the newsletter: your email address.
- Your IP address: our server uses it to stop anyone submitting hundreds of forms at once. We do not keep the address itself: it is turned into an unreadable code that is erased after two hours. Separately, our hosting provider records visits in a standard server log, as every web server does.
- Where your visit came from: when you send an enquiry or make a booking we record which page of our own website you arrived at the form from, so we know which pages are useful. If you came straight from another website or a search engine, we leave that field empty: we deliberately do not store that. During your visit it lives in your browser's session storage and disappears when you close the tab; no cookie is involved. What you send us through the form does go into our records, with the same retention period as the rest of the enquiry.
What we use your data for
We use your data to respond to your enquiry, to prepare a quote or proposal, to stay in touch with you about the delivery of an assignment, and, where you have signed up for it, to send you our newsletter. We do not use your data for any other purposes and never sell it to third parties.
Legal basis for processing
The processing of your data is based on your consent (which you can withdraw at any time, for example by unsubscribing from the newsletter) and on the necessity for the performance of a contract or for taking steps at your request prior to entering into a contract. For keeping invoices and paid bookings there is also a legal obligation: the seven-year retention period under Dutch tax law. And for keeping out spam and securing this website we rely on our legitimate interest in keeping the forms usable; for that we do not store your address, only an unreadable code that is erased after two hours.
Form processing
The enquiry and contact forms on this website are processed on our own server, hosted in the Netherlands. Your submission is stored there and then delivered to us by email at info@culinary-crew.nl. We keep the submission even if the email should fail to arrive, so that your enquiry is not lost. No external form service is involved; our hosting provider acts as processor.
The emails themselves are sent via Brevo, as described below.
Newsletter via Brevo
We use Brevo (Sendinblue SAS, based in the European Union) to send email. Brevo processes your data as a processor. We keep two things strictly separate:
- The newsletter. If you sign up for it, we use a double opt-in: you first receive a confirmation email before you are added to the list. You can unsubscribe with one click in every newsletter.
- Handling your enquiry or booking. When you submit a form we send you a confirmation and, after that, the messages that belong to your assignment: a reminder for the balance payment, a note in the week beforehand and, two days afterwards, a question about how you found it. Those messages are part of the agreement; you do not need to sign up for them. If you would rather not receive them, reply with "no mail" and we will take you off.
- Seasonal menus and offers. Only if you tick the box on the form yourself. We never add you to that list unasked, and the box is unticked by default. You can unsubscribe in one click.
Payments and bookings via Mollie
For deposits, bookings made via our website and the purchase of gift cards we use Mollie B.V., a payment service provider based in the Netherlands. When you make a payment, Mollie processes the necessary payment and transaction data as a processor; we ourselves do not receive full payment details. When you book via the website, we additionally store the details of your enquiry (such as your name, email address, the desired date, the location and the composition of your order), solely to carry out and administer your booking. We do not keep this data longer than necessary and do not share it with third parties other than as necessary for performance.
Statistics and advertising (only with consent)
Only after you have accepted cookies do we load Google Analytics (to measure website visits, with an anonymised IP address) and advertising pixels from Meta (Facebook and Instagram) and Google. These pixels allow us to measure the effectiveness of our advertising and to show relevant ads to visitors of our website. If you decline cookies, these services are not loaded and no measurement or advertising tracking takes place. You can change your choice at any time. See our cookie policy for details.
Transfers outside the European Union
If you accept the statistics or advertising cookies, data is sent to companies in the United States:
- Google Analytics (Google Ireland Limited, transferring to Google LLC in the US), only if you ticked statistics.
- Meta Pixel (Meta Platforms Ireland Limited, transferring to Meta Platforms Inc. in the US), only if you ticked advertising.
Both companies participate in the EU-US Data Privacy Framework. In July 2023 the European Commission determined that the United States offers an adequate level of protection for participating companies; that decision is the basis for this transfer. If you decline these cookies, nothing is sent to these parties.
The parties we use to carry out your assignment (our hosting provider, Brevo and Mollie) are established in the European Union.
Fonts via Bunny Fonts
The fonts on this website are loaded via Bunny Fonts, a privacy-friendly alternative to Google Fonts. Bunny Fonts does not place cookies, does not log IP addresses for advertising purposes and does not track visitors. No consent is required for this.
Our own customer overview
In our secured admin environment we group enquiries and bookings by email address, so we can see whether we have cooked for you before and what we discussed. That is all: we build no profile from your browsing behaviour, buy no data and link nothing to external files.
Retention period
We do not keep your data longer than necessary for the purposes described above.
- Bookings. Two years after the booking we delete your name, email address, telephone number, address, dietary requirements and any company details, not only from the booking overview, but also from the log in which our server records every booking. What remains is the date, the amount and the type of assignment, which we are required to keep for seven years for our accounts. From that point on those records can no longer be traced back to you.
- Enquiries that do not lead to an assignment.\1 This happens automatically; no copy is left behind in a log file.
- Newsletter. We keep your email address until you unsubscribe.
- In your own browser. If you interrupt the booking module, your browser remembers where you left off: the number of guests, the package chosen and the preferred date. We deliberately do not store your name, email address, telephone number, location or dietary requirements there. What is stored disappears by itself after seven days, and immediately once you complete the booking.
If you would like to be deleted sooner than stated above, we will do so on request, unless a statutory retention obligation prevents it.
Your rights
You have the right to access the data we process about you, the right to have inaccurate data corrected and the right to have your data erased. In addition, you can withdraw your consent, object to the processing, ask us to restrict the processing, and receive the data you provided to us yourself in a commonly used format or have it transferred. Would you like to exercise one of these rights? Send an email to info@culinary-crew.nl. We respond within one month. If you ask for erasure, we remove your data from our booking overview, from the server log in which bookings are recorded, from our enquiry list and from our email provider Brevo. This happens in a single action, so no copy is left anywhere. Only the date and amount of a paid booking remain, because tax law obliges us to keep those for seven years; at that point they can no longer be traced back to you. You also have the right to lodge a complaint with the Dutch Data Protection Authority.
